This policy explains how Otterly.cloud ("Otterly", "we", "us") collects, uses, stores and discloses personal information, in line with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). It covers this website and our managed IT services.
What we collect
Through this website: if you use our contact form or email us, we collect what you give us: your name, company, email address, phone number and your message. We also collect website analytics (pages visited, approximate location, device and browser type) to understand how the site is used, and search data from Google, such as the search terms that bring people here. Analytics and search data are aggregate information and are not used to identify you. Our hosting provider keeps standard server logs (IP address, browser type, pages visited) to keep the site running and secure. We don't use advertising trackers.
As a client: delivering managed IT means we necessarily handle information inside your systems, such as user account names, email addresses, device details and the contents of systems we back up or support. We access this information only to deliver the services you have engaged us for.
How we use it
We use personal information to respond to enquiries, provide quotes, deliver and support our services, invoice for them, and meet our legal obligations. We do not sell personal information, and we do not use client data for advertising. If you ask for a quote, you will hear from a human about that quote, not a marketing sequence.
Who we share it with
We share information only where needed to deliver our services: with the technology vendors whose platforms we manage on your behalf (for example, Microsoft for Microsoft 365 tenancies, and the security and backup platforms included in our plans), with our website hosting provider, and where the law requires it. Some of these providers store data outside Australia; where that happens, we choose reputable providers with strong security and privacy practices.
How we protect it
Security is our trade. We apply the same standards to ourselves that we bundle into every client plan: multi-factor authentication, encryption, endpoint detection and response, and least-privilege access, meaning our team accesses your information only when the job requires it.
How long we keep it
Enquiry details are kept for as long as needed to handle the enquiry and a reasonable period afterwards. Client records are kept for the duration of the engagement and as required by Australian law (for example, tax and business records). When you leave us, we return or securely destroy client data in accordance with our offboarding process.
Access, correction and complaints
You can ask us what personal information we hold about you, ask us to correct it, or raise a privacy concern by emailing [email protected] or calling (07) 2143 6551. We will respond within a reasonable time. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
If we change this policy, the new version will be published on this page with an updated date. Material changes affecting existing clients will be communicated directly.
